How to follow up on missing Ramp receipts through Slack

As fantastic as Ramp is at helping accounting teams close the books faster - chasing receipts and memos just seems to never go away no matter how many automations are in place. At a certain point people start tuning out automatic notifications and stop paying attention (maybe they are tuning you out also - but that's another problem).

It can be very time-consuming following up with people - if there are 20-30 people, that can easily take someone an hour. So what happens is the follow-up gets skipped - it feels like a really low-value time investment.

The issue is you're then scrambling at the end of the close, and a simple task becomes a major bottleneck. And on top of that people don't have a receipt, and nobody remembers what they bought at Walmart for $300 a month later.

The setup

  1. Connect Claude to Ramp MCP - in Claude go to Customize → Connectors, search for Ramp and click Connect.
  2. Create a skill for yourself where you tell it exactly what to look for - who to skip and who to ask.
  3. It drafts all the DM messages for you with Ramp links directly in Slack.
  4. All you have to do is send - and that's it.

Step 1: Customize → Connectors → Ramp in Claude.
A Slack draft to a cardholder asking for the required memo and receipt, with each missing transaction listed and linked to Ramp.
The Slack draft Claude writes for each cardholder (demo names).

Here is a skill starter you can copy - just fill in your company and the names.

    ## What to pull
    - Use the Ramp connector. Company: <company name>
    - Only transactions not synced to accounting yet.
    - Flag a transaction when Ramp says it is missing a receipt or a memo.

    ## Who to follow up with
    - Ask: <names>
    - Skip: <names, for example people you ask in person>

    ## What to give me
    1. One short message I can send to everyone:
"Hi, could you please make sure each of your Ramp transactions includes the required memo and receipt? Thank you!"
    2. For each cardholder, one line per transaction, newest first:
date · merchant (linked to the transaction in Ramp) · amount · Missing: receipt, memo

    ## Rules
    - Draft only. Never send anything to a cardholder. I send the messages myself.
    - If nobody is missing anything, say so in one line.

You can get more advanced and set up a routine so it automatically drafts the messages for you.

A Claude scheduled task that saves Slack draft DMs to cardholders every Monday, Wednesday and Friday at 8:48 AM.

The only thing is - right now you need to set it up as a draft if you want it to come from you. Otherwise it will look as if you sent it from Claude, and people will start tuning you out just like they tune out automated notifications.

Bonus: collect receipts without asking anyone

The best way to collect a receipt is to never even ask a person for it. Ramp can pull receipts in a few ways before anyone needs a follow-up.

    • Email, company-wide: an admin connects Gmail or Outlook once under Company → Integrations, and Ramp matches receipt emails for every cardholder. Gmail needs a Google Workspace superadmin, Outlook an Azure admin.
    • Email, one person at a time: each cardholder connects their own inbox under Email connections → Connect inbox, if the admin allows it.
    • Inbox rules: set up a rule that auto-forwards receipt emails to your own special Ramp receipt email address - it's pretty good at auto-matching them to the right transaction.
    • Merchant connections: Lyft, DoorDash, Amazon Business and Uber send receipts straight to Ramp. Cardholders can also connect their Amazon and Walmart logins.
